17 January 2026A Tool dispensing system is a specialised smart locker solution for the automated management, dispensing and return of tools, with RFID tracking and calibration management.
Function and area of use
Tool dispensing systems track every tool individually via an RFID tag. When withdrawing, the employee authenticates, and the system checks authorisation and calibration status and opens the corresponding compartment. On return, the tool is scanned, checked for completeness and the loan is closed. Tools not returned are escalated automatically.
These systems are indispensable in production, maintenance, aviation, automotive and wherever expensive precision tools are used. They reduce search times, prevent losses and safeguard quality through calibration monitoring. Integration into CMMS systems (SAP PM, IBM Maximo) optimises maintenance processes.
The range includes measuring and testing equipment, hand tools, special tools and power tools. Drawers with foam inlays show missing tools immediately.
Advantages
- Eliminate search times through clear assignment
- Calibration management guarantees quality standards
- Cost transparency through usage tracking
- Integration into CMMS for maintenance optimisation
Technical details
Modular design for 50–200 tools. RFID tags (125 kHz/13.56 MHz) on every tool. Weight sensors for completeness checks. Foam inlays with shadow board. CMMS integration via REST API, OPC UA. Touchscreen, RFID/PIN authentication. Optional: camera surveillance. Energy consumption 200–400 kWh/year.
Frequently asked questions
How does calibration monitoring work?
Every measuring instrument has a calibration interval in the system. On withdrawal, the system checks the expiry date. Overdue tools are blocked and automatically released for calibration.
What happens to tools that are not returned?
Automatic escalation: 1st reminder after 24 h, 2nd reminder to the supervisor after 48 h, 3rd blocking of further withdrawals after 72 h. Chargeable replacement in the event of loss.
